Terms of Service
Last updated Sep 17, 2026
QCircles is software for tour operators and travel agencies: it builds trip quotations, tracks what each supplier really cost, and keeps the payments against them. These terms are the agreement between you and us for using it. By creating an account you accept them.
1. Your account
QCircles is for business use. You create one workspace for your agency, and everyone you invite works inside it.
The person who signs up is the owner of that workspace. Owners are responsible for who they invite, for what those people do in it, and for removing anyone who leaves the company.
Keep your password to yourself. Tell us immediately if you think somebody else has it.
Give us a real email address — it is how we confirm your account and how we reach you about your subscription.
2. The free trial and the free plan
Every new workspace starts on a free trial: 14 days, one complete trip, with every module switched on. No card is asked for and nothing is charged when it ends.
When the trial ends the workspace moves to the free plan and stays there for as long as you want it: 3 quotations per calendar month, renewing on the first of each month, with the Accounts module switched off. The same applies if a paid subscription is not renewed.
Everything you have already built stays where it is, stays readable and stays editable — including the Accounts records of a workspace that no longer has the Accounts module. Taking a plan makes them reachable again; nothing has to be entered a second time.
3. Plans and payment
Plans are listed on our pricing page with their price, their user limit and their monthly trip allowance. Prices are shown in the currency of the plan and do not include any tax that may apply where you are.
There is no card checkout. You transfer the amount and attach the receipt inside the app; we review it and activate your plan. Your period starts from the day we activate it, not from the day you paid.
Nothing renews by itself. When a period ends it simply ends, and you decide whether to pay for another one. That also means we will never charge you without you doing something first.
We do not refund a period that has already started. If something has gone wrong, write to us before paying again — we would rather fix it.
We may change plan prices. A change never affects a period you have already paid for.
4. Who owns what is in the workspace
The trips, clients, suppliers, prices and files you put into QCircles are yours. We do not sell them, we do not use them to train anything, and we do not show them to other customers.
We do look at them when you ask us to — a support message about a quotation means somebody here opens that quotation — and when we have to in order to keep the service running or to comply with the law.
You are responsible for having the right to enter the personal details you enter. If you put a traveller's name, phone number or passport photograph into a trip, you are the one who took it from them, and you are the one who has to be able to explain why. See the Privacy Policy for how we hold it.
5. What you may not do
Reasonable limits, all of which we enforce in the software as well as saying them here:
- Do not try to reach another customer's workspace, or to see data that is not yours.
- Do not probe, scan or attack the service. If you find a security problem, tell us — see the Privacy Policy for the address.
- Do not resell access, or share one account between several agencies. Extra people go on your plan as extra users.
- Do not upload anything illegal, or anything you do not have the right to hold.
- Do not automate the interface to pull data out in bulk.
We may suspend a workspace that does any of these, and we will tell the owner why.
6. AI features
Where the product uses AI, it uses your own account with the AI provider and your own key. You connect it, you pay that provider directly, and their terms and their privacy policy govern what they do with what is sent.
We pass your request to the provider you chose and show you what comes back. We do not check that it is right. An AI answer inside QCircles is a draft — the price you send a client is still yours to read before you send it.
You can disconnect the key at any time, and the service works without it.
7. Availability
We do not promise a particular uptime. We run the service carefully, on ordinary commercial hosting, and it will occasionally be unavailable — for maintenance, or because something upstream has broken.
We add, change and occasionally remove features. If we remove something you rely on, we will say so before it goes.
8. Ending it
You can stop at any time by not paying for another period. Ask us and we will delete the workspace; see the Privacy Policy for what deletion means and how long it takes.
Export what you want to keep before you go. Reports and spreadsheets are available for as long as your period is running.
We may end the agreement if a workspace breaks section 5, or if payment for a period never arrives. Except in a case of clear abuse, we will give you notice and time to take your data with you.
9. Where our responsibility ends
QCircles is a tool for doing arithmetic and keeping records. We are not a party to your contracts with hotels, transport companies or clients, we do not book anything, and we hold none of the money that moves between you and them.
The numbers the software produces are built from what you typed into it. Check a quotation before you send it — a rate entered in the wrong currency, or a supplement typed as a percentage when it was meant as an amount, produces a total that is wrong and looks right.
The service is provided as it is. As far as the law allows, our total liability to you for anything arising out of it is limited to what you paid us in the twelve months before the problem, and we are not liable for lost profit or lost business.
Nothing here limits liability that cannot be limited by law.
10. Changes to these terms
We may update these terms. The date at the top says when they last changed, and we will tell account owners by email about any change that materially affects them before it takes effect.
Carrying on using the service after a change means you accept it. If you do not, stop using it and ask us to delete the workspace.
11. Law, and how to reach us
These terms are governed by the laws of the Arab Republic of Egypt, and its courts have jurisdiction.
